Builders Tribe ("we", "our", "us") respects your privacy. This Privacy Policy explains what personal information we collect, why we collect it, who we share it with, and the choices you have.

It applies to our website, community platforms, newsletters, events, programmes, delegations, referral partner programme and any other service we operate.

We process personal information in line with the Nigeria Data Protection Act and, where it applies to you, the EU/UK General Data Protection Regulation.

Depending on how you engage with us, we may collect:

• identity and contact details: name, email address, phone number, country, city;
• professional details: company, role, website, LinkedIn profile, industry, startup stage;
• account details: login credentials, authentication records, account preferences;
• application and form responses: mentorship, internship, volunteer, collaboration, country manager, founder story and resource download submissions;
• delegation and travel information: passport details, date of birth, nationality, visa documents, travel dates, flight details, emergency contacts and dietary or accessibility requirements;
• payment information: transaction references, amounts, currency, invoice and receipt records (card details are handled by our payment providers and are never stored by us);
• referral partner information: referral code, introductions made, commission records and payout details;
• communications: support requests, messages to our team and assistant conversations;
• technical information: IP address, device and browser type, and usage data collected through cookies and similar technologies.

Where you join a delegation, we collect documents and details that are more sensitive than ordinary contact information, including passport scans, identity pages, visa application material, invitation letters and emergency contact details.

We handle this information under the following rules:

• documents are stored in private storage and are accessible only to you and authorised Builders Tribe staff;
• we share them only with the embassies, consulates, visa processing agents, conference organisers and host partners required to process your participation;
• we do not sell, rent or use this information for marketing;
• we retain travel documents only for as long as needed for the delegation and our legal and accounting obligations, and delete them afterwards.

We use personal information to:

• create and manage your account;
• assess applications for programmes, delegations and partnerships;
• process payments, issue invoices and receipts, and maintain financial records;
• prepare visa documentation and coordinate travel logistics;
• operate the referral partner programme and calculate commissions and payouts;
• respond to requests and provide support;
• send transactional messages such as confirmations, receipts and delegation updates;
• send newsletters and marketing where you have consented;
• improve our services, measure engagement and keep our platforms secure;
• meet legal, tax, regulatory and audit obligations.

We rely on one or more of the following:

• performance of a contract, where processing is needed to deliver a service you have requested;
• consent, for marketing communications and optional data you choose to provide;
• legitimate interests, to run, secure and improve our services;
• legal obligation, where retention or disclosure is required by law.

Where we rely on consent, you may withdraw it at any time without affecting processing carried out before withdrawal.

We share personal information only where necessary, with:

• embassies, consulates and visa processing agents, for delegation travel;
• conference organisers, host venues and delivery partners, for registration and access;
• payment providers and financial institutions, to process transactions;
• email, hosting, storage, analytics and infrastructure providers that support our platform;
• professional advisers, auditors and regulators where required;
• law enforcement or authorities where disclosure is legally required.

We do not sell your personal information, and we do not share it with advertisers.

Our delegations are international by nature, so your information may be transferred to and processed in countries other than your own, including the host country of an event.

Where information is transferred outside your jurisdiction, we take reasonable steps to ensure it remains protected by appropriate safeguards and contractual commitments.

We keep personal information only for as long as needed for the purpose it was collected, and for any period required by law.

• travel and visa documents: deleted after the delegation concludes, subject to legal retention;
• financial and transaction records: retained for the period required by tax and accounting law;
• account and community records: retained while your account remains active;
• marketing contacts: retained until you unsubscribe or ask us to delete them.

Subject to applicable law, you have the right to:

• access the personal information we hold about you;
• ask us to correct inaccurate or incomplete information;
• ask us to delete information where there is no ongoing legal or contractual need for it;
• object to or restrict certain processing;
• withdraw consent for marketing at any time;
• request a copy of your information in a portable format;
• lodge a complaint with your data protection authority.

We use encryption in transit, access controls, private storage for sensitive documents, and row-level restrictions so that records are visible only to the account they belong to and authorised staff.
